Inception Academy of Martial Arts (“we”, “us”, “our”) respects your privacy and complies with the New Zealand Privacy Act 2020. This policy explains what personal information we collect through this website, why we collect it, and how we handle it.
1. What we collect
Information you give us directly. When you sign up for a free trial, contact us by email, or enrol at the dojo, we collect your name, your child’s name and age, your email address and phone number, your child’s school, parent or guardian occupation, emergency contact details, any relevant medical or behavioural information needed to place the student safely, and any specific information you choose to share in your message.
Information collected automatically. Through Google Tag Manager and Google Analytics 4 we collect anonymous usage information: pages you visit and time spent on each, the website or search engine that referred you, your approximate location (country and city only), the device type, browser, and operating system you use, and anonymous identifiers stored in cookies. This information is not personally identifiable on its own. We do not attempt to combine it with information you give us directly to identify individual visitors.
2. Why we collect it
We use personal information to respond to your enquiries, process trial sign-ups and enrolments, place students safely in the right class, communicate with parents and guardians about classes, gradings, events, and dojo updates (only to people who have opted in), understand which parts of our website are useful so we can improve it, and meet our legal obligations as a New Zealand business.
3. Children’s information
We are a martial arts school for students aged 4 and up, so we work with children and their parents or guardians directly. Our handling of children’s information is deliberately conservative.
Information about children is only collected with the parent or guardian present and acting on the child’s behalf (online via the trial sign-up form, or in person at the dojo at enrolment). We do not send marketing communications to children. We do not link student information to social media platforms. We do not share student photographs or names publicly without written parental consent. We do not maintain public social media accounts that direct minors to follow or interact.
If you are a parent or guardian and have any question about how we handle your child’s information, email us and we will respond promptly.
4. Cookies and tracking
This website uses cookies and similar technologies for the following purposes. Essential cookies are required for the website to function (for example, remembering your cookie consent preferences) and cannot be turned off. Analytics cookies (Google Analytics 4: _ga, _ga_*) help us understand which pages are useful and are anonymous and aggregated. Tag management (Google Tag Manager) loads other approved scripts on the website.
You can decline non-essential cookies via the consent banner that appears on your first visit, or by adjusting your browser cookie settings. Declining analytics cookies will not affect your ability to use the website.
5. Sharing your information
We do not sell, rent, lease, or trade your personal information.
We share information only in these limited circumstances. Service providers: we use third-party services that may process your information on our behalf, including Google Analytics, our email service (Resend and Mailchimp), and BJMA (Black Belt Martial Arts) for student grading registration. These providers are contractually obligated to protect your data. Legal requirements: we will share information when required by New Zealand law, court order, or to protect the safety of any person.
We do not transfer your information overseas except via the service providers listed above. These providers comply with internationally recognised privacy frameworks.
6. How long we keep it
Email enquiries are kept for up to 24 months from last contact, then deleted. Newsletter and trial sign-ups are kept until you unsubscribe. Enrolment records are kept for as long as the student is enrolled, plus 7 years after departure for legal record-keeping. Anonymous analytics data is aggregated indefinitely; individual session data is retained per Google’s defaults (typically 14 months).
7. Your rights under the NZ Privacy Act 2020
You have the right to ask what personal information we hold about you, ask us to correct any information that is wrong or out of date, ask us to delete your personal information (subject to our legal record-keeping obligations), and withdraw your consent for marketing communications at any time (every email has an unsubscribe link).
To exercise any of these rights, email us at the address below. We will respond within 20 working days as required by the Privacy Act.
8. Security
We protect your personal information using HTTPS encryption for all data sent through this website, DMARC, SPF, and DKIM email authentication to prevent spoofing, industry-standard security headers (HSTS, CSP, X-Frame-Options, X-Content-Type-Options, Referrer-Policy), limited access (only authorised people in our organisation can see personal information), and reputable third-party providers for email and analytics.
No internet transmission is fully secure. We make every reasonable effort to protect your data but cannot guarantee absolute security.
9. Changes to this policy
We may update this policy from time to time. The current version is always at this URL with a “Last updated” date at the top.
